Section 2: Notice of a meeting

Definition:

Notice of a meeting is a brief statement issued to board members and any specific associates. It shows the place, date, time and purpose of a meeting.

Example:

Section 3: Agenda of a meeting.

Definition:

Ordered sequence of items to be discussed in a formal meeting. The objectives of an agenda include to:

Familiarize participants with the topics to be discussed and issues to be raised,

Indicate what prior knowledge would be expected from the participants

Indicate what outcome the participants may expect from the meeting.

Example:

Section 5: Structured minutes of a formal meeting.

Definition:

Minutes are a written record of committee meeting times, attendance, topics covered, discussion on topics, agreements, assignments, and decisions. Minutes should be organized by the topics on the agenda that was approved. All motions should be included along with decision results and methods, e.g., voting, consensus.
