Good morning everyone,

This email is being sent to announce a change in our email policy. There has been some confusion in the last two weeks regarding the proper procedures for sending and replying to email. NRPDC’s policy for setting out of office replies will also be addressed.

First, it is very important when sending email to have the proper signature style. Before sending any email, ensure you are sending it to the correct personnel and all necessary attachments are there. Also, there will now be a standard signature for all email originating at NRPDC. Following is an example:

Prior to replying to any email, read it through carefully to make certain you address any requests or questions the sender asks you. Next, ensure that you do not “reply to all” unless it is necessary for everyone that the email was sent to see your input. Finally, it is the policy at NRPDC to respond to all email within one business day of receipt. This is to ensure the sender knows that any issue is being worked.

As a final point, please turn your out of office assistant on anytime you will be away from work for more than 1 business day. You should include the name and contact information for the person handling your duties while you are out. This will give the sender the option of getting immediate help if it is required.
