In writing a business letter, email, or business memo the only differences to consider are the audience and the format of the three documents. The information both positive and negative should be presented in a similar fashion. The important steps you must take in drafting these documents are:

• Analyze your audience and the information being presented.

• Give specific details, clarification, background about future changes

• Try to present any negative changes as positives when ever possible

• Make sure you clearly explain any benefits

• Always end the communication on a positive or goodwill note indicating the audiences concerns are also your concerns

Re: Store Operational Changes

First of all I would like to thank you for your business and continued support as a dedicated customer of Frisco Department Stores over the years. As the economy and business operations change, we have found it necessary to revise our days and hours of operation. Beginning July 1, 2010, our stores will be closed on Sundays and open Monday through Saturday. We will be extending store hours by opening an hour earlier, 8AM and closing an hour earlier 9PM. We feel these days and hours will be convenient for our customers while maintaining our operational stability.
