1. Is my primary audience external or internal?

In this case the primary audience is internal. All communication with Jeff Clarke is done within the company because he is an employee.

2. What are some key demographics about my audience, such as age, gender, family situation, etc.?

The conference that is coming and Jeff’s personal family issues are the causes of the scheduling problem at work, therefore, these are the key demographics about my audience.

3. How much does my audience know about the topic?

As an assistant manager of the hotel, Jeff is completely aware of the situation and problems that he is causing. Since he is a manager he would have known about the conference and the amount of guests it was bringing. He also know about his family situation.

4. How much formality does my audience prefer?

There isn’t enough information given in the scenario to know how formal I would need to be with the primary audience. The secondary audience is human resources and communication should be kept formal. Human resources wants everything documented.

5. How do I expect my audience to react to this message?

There again isn’t enough information given to identify how Jeff will react to this message. If he is truly sincere about having an emergency this many times in two months, then he could get upset about not getting this time off. Being that he is an assistant manager he should understand the problems he is creating at work and the stress that he is putting on the other employees. He could think about making arrangements with other family members or he could work a schedule out with another employee. It would be best for him to work the weekend of the conference and take the time he needs after the busy weekend.
