Organization Background

Company B is a small financial firm that employs about 100 people. 50 company issued laptops have breached their end-of-life/end-of-support terms. These systems have become functionally unreliable and are estimated to slow office production by 5%. Newer systems and software would improve employee capabilities and efficiency.

Project Objective

This project objective is to provide 50 new laptops and software to replace ageing end of life/end of support systems and to provide indoctrination training on the new system and software use. The new laptops will improve office production by providing platforms for updated software packages, speed up production, enlarge storage space, improve security features, and reduce maintenance costs. Current systems in the office environment are four years or older, running old software versions that are no longer supported. Newer, more efficient operating systems and software packages are available that require higher performance systems with larger storage capacity. Newer systems will also reduce maintenance and replacement costs, by providing systems, which are under warranty. New systems also have an impact on morale.

Project Scope

This project will cover the purchase, installation, software packages, and upkeep of 50 new PCs as well as the disposal of the current outdated models. It will also cover any required user training and change notification to company B’s users. Not included in the scope: This project will not include networking work (routers, switches, etc) or any infrastructure work needed at Company B. This project will also not include peripheral devices such as printers, scanners, etc.

Budgetary Limitations

The PC Refresh budget total is $19,000.00. This is estimated for the entire group of 50 PCs that need to be replaced. The estimate encompasses $270 times 50 laptops= $13,500. The remaining budget will be left for wages and a buffer zone and contingencies.
