Project Meetings:

For the duration of this project there will be daily update meetings held. In order to make these meetings as informative and efficient as possible, I would do the following as the Project Manager. Before the meeting; I will review past meeting minutes and the Action Item Log for issues that would need to be brought up during the meeting. I have set up rules for the meeting to keep disruptions to a minimum and keep the meetings as efficient as possible.

1. Come to the meeting on time.

2. No cell phones in the meeting room. If you must have a cell phone in the meeting room, the ringer must be off. If you must answer a call during the meeting, you should leave the room BEFORE answering the call.

3. Come to the meeting prepared to give an update.

4. If you can’t attend the meeting, give your update to another team member or email your update to the Project Manager before the meeting.

5. One conversation at a time, one person speaking at a time.

6. Be respectful at all times.

We will follow the meeting agenda in order. Safety is very important to me, so safety is always the first topic discussed. Each day one team leader will present a safety topic for discussion. Topics should be limited to the present weeks tasks and the next weeks tasks. I will be taking notes during the meeting and will send out a bulleted meeting minutes email to all team members and management by the close of business on the day of the meeting. The Communication Plan has the phone number and email for each team leader in case there are follow up questions that need to be answered before the next update meeting. There will also be a Weekly Project Update Meeting which will focus on the project budget and scheduled tasks that are more than 1 week out from the current date. After the Weekly Project Update Meeting, I will send out a bulleted meeting update email with Wednesday’s daily update.
