Objective: Paid time off (PTO) provides all full and part time administrative staff members with time away from work that can be used for vacation, personal time, personal illness or time off to care for dependents. PTO must be scheduled in advance and have supervisory approval, except in the case of illness or emergency.

Eligibility: All full and part time employees are eligible to accrue PTO. Part time employees accrue PTO at a prorated amount comparable to their FTE. For example, a part time employee scheduled for 20 hours per week would earn at one half the full time accrual rate. PRN, temporary and seasonal employees are ineligible to accrue PTO.

Full time employees accrue PTO based on the following schedule:

Up to one week equivalent of PTO hours may be carried over into the next calendar year. For example, a 20 hour per week employee may carry over up to 20 hours. Exempt employees must carryover in full day increments.

Up to one week equivalent of PTO hours may be cashed out once a year. This cash out payment will be made the last paydate of the calendar year.

A combination of carryover and cashout may be elected up to one week equivalent of PTO hours. For example, a full time employee (40 hours per week, five 8 hour days) may elect to carry over 16 and cash out 24 hours.

PTO is not accrued during periods of leave without pay, leave of absence, FMLA and/or worker’s compensation that exceeds 40 hours.

Exempt employees must use PTO hours in half or full day increments. Increments must be equivalent to the employee’s normal schedule. For example, if an employee’s normal schedule is six hour days, PTO would be used in three or six hour increments.

Non-exempt employees must use PTO in one hour increments.
