Email benefits a company by allowing instant messaging and memos to be sent easily. Instead of having to call around and talk to numerous people, you can easily send out a memo to as many people or distribution lists as you want very quickly. This allows for faster communications as information to be sent that much easier. All of this allows for more production from staff and employees by not tying up their time with time consuming phone calling. However, in doing so, the employee may find more time on their hands than they know what to do with. Maybe they decide to jump on the internet for a bit. Perhaps they find a funny cat picture on Pinterest or something. Jane decides to share that with Mary through email. Mary thinks it is funny as well and decides that she needs to send that to Bob and Sherry as well. Not only is this taking up employee’s time, it is using storage and resources that would be better used for working. The path of an email is meant to go directly from the sender to the receiver but can be sent over the internet to other sources and obtained by hackers and unintended individuals either intentionally or by unintentional means so using private networks are a widely used method to avoid this from happening as much as possible.

The effect can be both beneficial as well as hurtful depending on the organization’s security in their network. While instant messaging offers significant convenience and speed in sending a quick message from one employee to another to be seen almost immediately, if the organization’s security is lacking in any way those instant messages can be intercepted by hackers and seen by other users. This could include a client/ customer’s personal information or pieces of important information meant for the intended recipient only.
