The ability to email is a gift and a curse for any company. The benefit of email is it allows you to communicate with an individual or multiple people at the same time. You can also send a document which has reduced the need to mail documents, unless it is mandatory. It is important for a company to limit how an employee uses email because it has risks. If an employee uses email for personal use it could reduce the amount of productivity. Also limiting what they are sending because that email is a representation of the company. When an email leaves the organization it is going to the person or a specific group of people. However, in today’s society emails can be intercepted.
Instant messenger is another form of communication and reduces emails for quick questions. The benefits are easy communication between employees which will reduce emails using server space. Drawbacks are similar to email because you can experience low productivity and files transmitted.
Web pages are great tools for marketing. It gives people the ability to learn about your company and the services offered. Search engines allow for people to search for keywords which could link to your company. Drawbacks are that hackers could take secure information from your site leaving the company and customers at risk.
I am not one that believes in micro-managing employees. If I notice that an employee’s production is going down then I would possibly start looking at what they are doing via email and IM. I believe company policy has set standards clearly.
