Job Description
XYZ Inc. is currently interviewing for an open Administrative Assistant (AA) position with our company. This position reports directly to the President of the company, and is one in which multi-tasking and flexibility must be utilized. An AA with our company will be responsible for handling confidential company information, so discretion is of absolute importance, as well as the ability to think quickly under pressure.
Description of Job Duties
Job duties will include screening all phone calls for XYZ’s acting President, while also scheduling all of his/her appointments for the day in order to maximize their time and efficiency. Filing, business letter drafting, stenography, marketing, and recruiting for different positions within the company will also be included. The position of AA is varied and broad, so day to day duties will ultimately change according to what is needed to assist the President in completing their own duties and agenda (Kleiman, 1988).
Minimum Qualifications
Applicants for the open AA position must be fluent in all Microsoft Office programs (including Excel, Word, PowerPoint, and Outlook). They must also have a passing knowledge of Quickbooks and Peachtree software, and an understanding of basic professional business terminology (legal, HR, and accounting). A degree in business or administration is highly preferred, but not necessary (Perez-TreviNo, 2006).
