Subject: High level over-view for the communication plan.

I am writing this to ensure that all updates are available for the project team to review at all times. The plan breaks down some of the mandatory communications that need to be addressed on a weekly, bi-weekly or daily basis. Everyone has agreed to be reached via phone calls at any time. The Franchisee, Corporate and Project Manager will also be available via text messaging for constant communication.

In developing this communication plan, it was imperative that we first identify stakeholders of the project. These are individuals or groups that have an interest or may show concern about the opening Of D’s Coffee Shop. Once identified, communication tools and timelines will be established so that each stakeholder is given the information required and will be able to address concerns/questions that they may have.

We have also discussed alternatives for updating the communication plan. The communication plan will be updated every week and reviewed during the project status meeting. If the project team concludes there needs to be changes, then the next step would be to seek approval from the Project Manger to review and accept the changes. Once this is executed then it will be incorporated into project status web.

The communication plan regarding project performance and overall project status, staffing, scope changes, issues, risks, and related corrective actions will be an ongoing process which will include both formal and informal interactions between the project managers and project team. The project status report will highlight the status based on milestone status, summarization of recent progress and upcoming plans, as well as quantitative metrics, such as baseline and actual dates.
