Job Title : Accounts & Admin Executive

Reporting to : Finance Manager & Admin Manager

Responsibilities

Accounts

1. Book-keeping for Representative Office accounts

2. Bank reconciliation

3. Cash Book

4. Handle and manage petty cash and fixed asset register

5. Accounts payable and payable reconciliation. Coordinating payment schedules to ensure payments are timely made & adherence to the local Philippines accounting practices

6. Collect and check monthly expense claims submitted by staff and submit to HQ Operations

7. File BIR on a timely manner

8. Work closely with the Accounts team in HQ Operations

9. Assist & liaise with external auditor for the preparation of the Annual Audit Reports.

Administration

1. Coordinating all travel arrangements (Hotel/flight booking for all staff)

2. Arranging appointments and meetings for senior management (company Director)

3. Screen and answer phone calls, attending to faxes, mail & courier services.

4. Ensure CEO’s/Director’s Personal Expenses and Corporate Credit Card Expenses claim forms are completed and submitted each month

5. In the absence of the CEO/Director, receive, distribute and forward all correspondence as required, in particular ensuring that no urgent messages or business requirements are left unanswered

6. Prepare confidential and official correspondences, memorandum, agenda and minutes of meeting

7. Organize and maintain all correspondence, records, filing and document archiving for the office

8. Arrange, schedule & coordinate appointments, meetings, company events, social functions, and general correspondence

9. Prepare Purchase Requisition and Purchase Order as and when required

10. Update the suppliers’ price list
