First, I would inform my subordinate that there are three basic purposes of communication. They are to inform, persuade, and build goodwill, and that most messages have multiple purposes. I will explain that good business and administrative writing meets five criteria: clear, complete, and correct; saves the receiver’s time; and builds goodwill; while poor writing wastes time, wastes effort, and jeopardizes goodwill. (Locker, 1)
Next, I would explain when trying to determine whether a Web site is good enough to use for a research project, there are several key things to consider: Who is the author of the site/information? What person or organization sponsors the site? What credentials do the authors have? How complete is the information? What is it based on? How current is the information? I would also stress that he should only use sites that he can determine the author, unless it’s from the government, a college or university, or a well-known news source. But to never use websites like Wikipedia, where users edit and change information, as the information may be questionable.
Then, I would explain that when it comes to organizing data, most sets can be organized in several logical ways. He should choose the way that makes the information easiest for his audience to understand and use. I would also provide him with the three guidelines found in our text to help him choose the arrangement that will be the most useful for his audience. 1. Process information before presenting it to an audience. 2. Divide voluminous information into three to seven categories
3. Work with the audience’s expectations, not against them (Locker, 3). I would also remind him to not include information in reports just because he has it or because it took a long time to find it; but to instead choose the information that your audience needs to make a decision.
