Using e-mail benefits an organization because, e-mail offers a quick, efficient, and relatively inexpensive means of communication, internally and externally and allows paperless communication. It creates better client communications, many businesses ask clients to email documents and pictures. Improves productivity of employees, by making communications quicker and easier among coworkers and clients, which prevents a loss of revenue, by spending less on mailing products.
Using an instant messenger might be a useful tool in a business however; limitations on when and how an employee uses e-mail during work hours may be an important consideration. The biggest concern in today’s business environment is security, and there are varieties of security reasons, why managers need to monitor their employees e-mail use at work.
Security is one important reason because, you do not want the employee to send (by accident or intentional) confidential files or information, to the wrong people via e-mail. You may want to know where the email goes, once it leaves your computer. A typical email path once it leaves the organization will start with a mail transport agent (MTA) that begins to process the electronic message, next a mail delivery agent (MDA), sends the message into a recipient's email Inbox. These two servers work as a team to deliver messages from Point A to Point B. I-Map and Pop servers (used with Yahoo, Hotmail, etc.), may also be integrated into the email process, in order to assist users, checking their email from wherever they happen to be. Security software used, to ensure that spam is blocked and threats to a computer's safety are recognized and dealt with, is common. The end process will be a mail user agent (MUA) that helps users read their messages.
