An adjustment letter is a written response by a representative of a business house or agency to a customer's claim letter. Letters of adjustment are replies over complaint letters. Once the customer finds faults over service or goods and asks for the either refund or replacement of the product, the adjustment letter is written to assure him/her such compensations. The basic objective of this letter is to diffuse the costumer’s complaint, care for consumer’s satisfaction and keep maintaining ethics and creditability in business. The letter informs about compensation information then accidental mishap about how a problem with a product or service took place.  The main goal of adjustment letter is to offer reparation on wrong product and offer a short explanation for excuse. Adjustment letters, in a way, are meant to resolve a prospective conflict and recover the possible loss in goodwill, which may take place because of dissatisfied consumers.

A letter of adjustment also acts as an official document demonstrating the details of the compensation so then the misunderstanding between the two parties goes prone to resolution. It notifies the sender that their claim or complaint letter has been received. 

An adjustment letter must be handled carefully. Showing of ill-feeling or anger in adjustment letter will defeat its purpose and spoils the relation than supporting to improve it. It should begin with a positive statement, with detail about compensation being offered to the customer. A sender has to keep in expressing sympathy and understanding. It should let the reader know what is being done, and the news, good or bad, should be followed by an explanation. The letter should end with another positive statement, reaffirming the company's good intentions and the value of its products.
