INTRODUCTION

Background of the Study

Fastrak Services Incorporated is a courier service company that delivers mainly credit card Statement of Accounts, and Marketing Mails from the Bank Clients. Processing these mailpacks is not fully automated. Encoding and consolidation of Masterlists are done manually that causes problems during account reporting and investigation.

With the daily transactions of Central Gateway Operations Department they cannot afford errors on their current processes, these processes include Bulk Sorting, Data-Entry, Lettershopping and Dispatch Assignment. Among those issues are tracking of mailpacks, missing of PODs, wrong tagging of mailpacks, and wrong entries on masterlist due to complex Microsoft Excel formulas.

In this study, the proponent will develop a desktop application that will minimize paper works and manual records keeping, also a website that will be used for the tracking of the mailpacks. In the branch, the proponent will also be developing a desktop application for the status reporting of the mailpacks.

To explain further the current system, below are the following work groups:

BulkSorting. 1st workgroup that will receive the mailpack from the pickup man. Its duties are to record all mailpacks picked-up daily and sort by area before forwarding to the Data Entry.

Data-Entry. After the mailpacks are sorted, it will be forwarded to the Data-Entry for masterlist encoding. Details of the masterlist include Account name, Control Number, Address, Barcode, and Batchclass. Every masterlist will be categorized by client name and job order number.

Printer Operator. After the encoding process, the printer operator will consolidate and process the masterlists and printer POD for mailpacks.

Dispatch Assignment. After the lettershopping, Mailpacks will be assigned to its branch and will be packed for delivery.
