1. What do you do? You have a legal, ethical, and financial responsibility to make certain the event and its operations maintain the highest standards of safety possible. You have a responsibility to protect the brand and quality of your meeting planning firm, and you have a responsibility to maximize the happiness and revenue for your client. What will you do?

Well first of all I would think there would be a back up plan is place when first arranging the event. If that were not what was done, then I would find a way to accommodate the surplus of people. I would call a meeting of the stakeholders involved, which would include Peggy Frank, Jenifer Dunn and Bill Smith. I would address the problem by explaining how important it is that we accommodate everyone to gain more publicity as well as outreach in the community. I would suggest to them that we rent large screen TV’s to put in the lobby so at least the event can be viewed. The health and welfare department could add some additional sessions in nutritional eating and yoga in a way that will accommodate the large number of participants.

I would also call the University and ask them if they put up more tents could be made to allocate for additional space. I call to the Convention center would be needed to explain the situation and amp up the benefits of this huge turnout. The Convention center would make extra money on parking alone. I would contact the caterers and request 1000 more box lunches, and rent more chairs, and higher more security.

2. Often the number of guests is unknown for events. Weather can keep people away or bring them out in large numbers. How do you plan for unknown guest counts? What would have been included in contingency planned for this type of event?

Since this is the second time this type of event is being held I would arrange a meeting with the former organizer and ask them how they took care of the mass amounts...
