Hosting Services Required by Financial Aid Office

Background:

The College Financial Aid Office services thousands of undergraduates supplying approximately $150MM in FY 2010. To fulfill that mission and be in compliance with, Massachusetts, and Federal guidelines we must maintain one of the largest concentrations of HRCI within the University.

Business Need/Problem Definition

In light of the above, the XXX is considered a high profile target by both Risk Management and FAS-IT Security, and we were thus subjected to one of the first in-depth departmental audits of information security. We have responded to nearly all of the audit’s findings quickly and completely.

One of the few outstanding issues is that of off-site server location. We remain exposed in several ways:

Data Centralization Risk There is currently no offsite backup of data.

Physical Risk We have had minor breaches to building security due to the nature of our building (mixed graduate student housing) and recurrent temporary staff(especially during the Admissions season) .

Environmental Risk We have recently had a failure of the HVAC unit in the server room that drove temperatures into the critical range for a period of hours. Fanning an open server with manila folders is a poor use of time for Harvard’s IT professionals.

Financial Impact

The financial and political impact of a serious breach or failure of our systems would be catastrophic. The conservative estimate of $100/person does not cover derivative costs of privacy restoration issues and the ill will the University would engender in such a situation

Proposed Solution:

The most logical solution for housing the University’s most sensitive data is to protect it within the most modern and secure location – XXX St. Below are the general specifications for our hosting needs:

Server Hosting:

Rack Space for *4 x 1U server class blade machines (Critical Need for for 2 X 1U machines)

Power Requirements for 4 x 1U server class...
