This e-mail is designed to announce the following policy. This new policy is directed for all current employees. This is to supersede any past e-mail policies before. Due to many complaints from employees and other sources the following policy has been directed from upper management, this is designed to eliminate confusion and bring about a more professional and organized work environment. E-mail Etiquette, Usage, Discrimination, and Company access rights will all be discussed in this policy. Please take heed and ensure that we are all on the same accord to make this as successful as possible.

E-Mail Etiquette

Before you send any business communication, stop and read it. Even if it is only a one sentence reply to a question, you can eliminate some errors and save wasted time by proof-reading what you wrote. Please ensure that you are using proper grammar and that the reader will be able to fully understand what you are saying to include the usage of abbreviated words.

Usage of Sir/Ma’am when addressing customers and other business partners is highly encouraged. This is to show them that we care and that this is a respectful business. At no time will disrespectful and vulgar language be used in replying or sending e-mails to customers or other employees. Use of professionalism is a must at all times and anything outside of that will not be allowed.

E- Mail Usage

Email is to be used for Company business only. Confidential information must not be shared outside of the Company, without authorization, at any time. Personal business using the Company computer or email will not be tolerated. Please keep this in mind; also, as you consider forwarding personal (non-business) emails to associates, family or friends that personal related emails waste company time and attention.

Ensure to send appropriate e-mails at all times. Viewing pornography, or sending pornographic jokes or stories via email, is considered sexual harassment and will be addressed...
