Explain how you would handle this situation if you were Charles Renfold. Let’s view the case from a different angle and go with the fact that smoking is permissible. As a manager I believe it is my responsibility to always look after the health and welfare of the employees. If there is an employee that expressed their belief with regard to not being subjected to smoke in a room where other employees are smoking, I would take immediate action to try to resolve the issue.

My first step would be to have a close session with the two employees and inform them about the smoke in the file room and explain to them the concerns of one of their colleagues as well as others and some of the consequences from smoking.

Describe the policy on smoking that you would recommend to Redwood Associates.

The policy on smoking for Redwood Associates would be to protect and enhance our indoor air quality and to contribute to the health and well-being of all employees is to make Redwood Associates entirely smoke free. The use of tobacco products, including chewing tobacco, is banned from the workplace, except as designated in the policy. Smoking will be prohibited in all of the enclosed areas within Redwood Associates worksites, without exceptions to include any common work areas, conference and meeting rooms, private offices, hallways, stairs, and restrooms.

The only designated smoking areas will be outdoors approximately 50 feet from the building and the loading dock. No employee or visitor will be allowed to smoke along the pathway or walk way leading to and from building or designated smoking areas. Employees who choose to use these smoking areas will do so at their own risk.
