Introduction

When asked to present quarterly sales information at an in-person meeting to my companies group of stakeholders, which included managers, salespeople and customers, I had to make sure that I would be able to address everyone in the room with enough information for them to use in their individual position. Due to the diversity of the roles in each group I had to come up with an organized way of informing everyone on what was most important to them.

My first challenge was to understand the characteristics of each group and understand how my information affected their roles within the company. I then had to figure the best communication channel to use when addressing them as a group setting and I also had to keep in mind the diversity of the audience and how to ensure my message was going to be received effectively.

The following will inform you on how I went about analyzing my audience, choosing my communication channel, considered the diversity of my audience and adapted my presentation to those differences, and ensured my messages was effective.

Characteristics of the Audience

Understanding who I was presenting my information too was a crucial part of my presentation. I had to establish what the roles of the managers, salespeople, and customers to our company and how the quarterly sales information affected them.

Managers were the primary audience in this case, meaning they were the ones I needed to reach to fulfill the purpose of my message. Their positions in the company are based on the bottom line of sales and where, as a sales team, we are projected to be at a certain time of the year.

Customers and sales people were the secondary audience in my presentation because they are the ones who will be depended on to implement any needed increases in spending or sales according to the information provided. They will be asked to comment and...
