The Accounts Payable team in India processes approximately 65,000 invoices a month and the number of monthly exceptions is currently at an unacceptable level. The monthly exception rate should be at a 4% rejection rate or lower and as of December 2011, this rate is at 5.2%.

The project objective is to reduce the number of monthly invoice exceptions to 3.5% and develop training plan to address processing issues that result in exception errors. The project is scheduled to begin on January 1, 2013 and completed on October 1, 2013.

Statement of Work- This project includes the following:

* Define project scope

* Define exception review (analysis) process

* Define tracking and recording of exception data

* Create exception and metric reporting package-team room

* Development and approval of training documents

Constraints

* Project has no defined budget

* Availability of offshore processors

* Availability of GSS buyers – training / buy in to process change

The Project Manager will “lead” the project from start to finish and act as the liaison between the project team members. The Project Manager will set obtainable and measurable objectives and ensure the planning, coordinating and communication phases of the project are closely monitored to ensure the project objective is met. The Project Manager will also ensure that the quality and performance goals are met for the overall project however this will also be a responsibility of the other team members for the tasks that are assigned to them. Finally the Project Manager has the ultimate responsibility of ensuring the project is completed without exceeding the authorized budget and communicate any issues that could have a negative impact on spending.
