* How does e-mail benefit an organization? Why might an organization want to limit how an employee uses e-mail during work hours?

E-mail benefits an organization by allowing for a more rapid response in regards to business concerns. Just about all e-mails can travel over the internet in a matter of seconds. The cost of e-mail is far lower than using the standard mail system or a call which may need to take place over seas. With the speed of the internet nowadays, management is able to communicate more effectively with their co-workers simultaneously making sure that there is no error in communicating what needs to be done. Organizations may want to monitor or limit how employees use the e-mail during work hours to avoid loss in productivity due to the employees using the e-mail system for their own personal use.

Instant messaging can allow for an organization to hold instant meetings without the worry of everyone being able to meet up at the same place. Chat services allows for people to listen and put in their opinion/concerns during a business meeting or decision even when they are out of the area or even the country. A drawback of using instant messaging in an organization is that some employees tend to use this service for personal use. Company secrets can accidentally be divulged to the employee’s friends or family if the employee is in the middle of a conversation and receives a message from someone not within the company.
