RE: Upcoming training meeting in Portland

In order to accommodate the meeting in Portland for the NSS IT staff, the budget will need to allot $8,000 to the event. This will cover the cost of 11 members of the NSS IT staff to be brought to Portland, the hotel rooms, meals and catering at the event, cars for the staff while in Portland and incidentals. The following details the funds for the event.

By working with a local travel agent, NSS has been able to work out a deal that would bundle the airfare, hotels and cars for the 11 visiting members of the NSS IT staff. This will allow NSS to save on the cost of each of the accommodations individually. The hotel is located approximately 2 ½ miles from the NSS headquarters where the meetings are to be held, so fuel costs are factored into the price of the package. The hotel offers a luxury continental breakfast for each of its guests which will reduce the cost of per diem for meals (discussed below). The total cost of the package is $1,605.

The travel agent will ensure that the NSS Staff are met at the airport to receive their vehicles upon arrival, as well as on the day f departure to retrieve the vehicles. This will ensure that the arriving staff does not need to be shuttled to any location, will accommodate the varying flight schedules and will not inconvenience the visitors. The travel agent will also ensure that the vehicles are equipped with GPS as well as directions to and from the hotel.

NSS will need to allot monies for the cost of meals other than those catered at the meeting. The per diem should be $120 per person, which breaks down to $40 per day for 3 days. This will allow for a single meal on the days of arrival and departure in Portland and two meals on the 2 full days of the meeting.
