To whom it may concern

I am a PA who presents a British headquarters of a large European manufacturing company. We get information from the Internet that your hotel provides the most comfortable atmosphere and the best services which include brand-new room and excellent food. The purpose of this letter is to book 10 twin rooms included breakfast for our company senior managers who are going to stay in your hotel for two nights.

Our managers need a quiet environment to work because they are going to have a conference in your hotel which means there is no doubt that we need a meeting room for the first two days. Therefore we want rooms which are far away from the noise and the crowds. To be noticed that we will have several French counterparts there, I wish you can provide extra help for them when they ask for a favour. In addition, we hope there is some entertainment for them to relax and have fun when they are tired, such as swimming pool, gym and playroom. It would be better if they are free. We will really appreciate if you send a car to pick them up in the airport or train station.

They will arrive on 27th December and leave on 29th December. If you have any problems with our requirements, please let me know.
