Purpose

This policy establishes guidelines for handling communications between the Director of Operations and their support staff, Technical Assistance team members, Quality Assurance staff and all office management and office line staff.

Background

Daily e-mails, telephone conversations, personal conversations and weekly meetings are a natural part of our operations. While some of this communication may appear unimportant, it is essential that all communications affecting the operations of Jackson Hinds Human Resource Agency office be shared with appropriate staff. Consequently, guidelines for establishing procedures for handling such communications are therefore required.

Definitions

Communication is defined as an act or instance of transmitting a verbal or written message by a process in which information is exchanged between individuals through a common system of symbols, signs, or behavior through personal interaction or electronic means. This includes but not limited to: telephone conversation, both landline and mobile, e-mails, letters, personal conversation, formal meetings, and policy and procedural guidance.

Policy

The Director of Operations (DoO) is responsible for ensuring a consistent flow of communication to allow the agency to operate in a seamless, standardized manner following the franchise model. Communication and directions from this office are the official, final interpretations of policy, procedure and operations.

The Director of Operations communicates in multiple ways. The following list cites the manner of communications and how the information is transmitted to appreciate parties.

A. The Director of Operations and the office managers conduct weekly meetings. In
