1. Clarify the assignment

For Ricky to delegate the assignment to Bill, he must first understand the project himself inside and out. The more clarity he can give to Bill in how to execute the project, the easier it will be to hand it off and not worry about how it is completed. Ricky must know the exact expectations and specific requirements for writing the new procedures manual that will outline the steps that are to be followed in negotiating contracts with products manufacturers. Because Bill has worked in the contracts group for about three years, Ricky should not have to worry about Bill’s aptitude in completing the project, just that he follows the guidelines for how the project is done and on what timeframe it is completed.

2. The second step, Ricky must adhere to before delegating the project to Bill, is specifying Bill’s range of discretion. Ricky must understand that he is not handing complete control over to Bill over this assignment. There will be some limits to what Bill can and cannot do while in charge of this assignment, and Ricky should disseminate these limitations to Bill. Bill needs to understand what his delegated duties are, recognize that he is not a manager, but is just in charge of carrying out the project. Bill’s responsibilities are to know the expectations on how to rewrite the procedures manual. As long as Bill is clear on his duties to carry out this assignment, Ricky should not fear delegating this project to Bill.

#3 Allow the employee to participate:

When it is time for Ricky to meet with Bill in the morning, it will be important for Ricky to allow Bill to equally discuss his involvement in taking over the project to compile the department’s new procedures manual.
