SYSTEM PROPOSAL DOCUMENT

FOR

Jakes Hotel Villas & Spa

HOTEL MANAGEMENT SYSTEM

INTRODUCTION

Background

Jakes Hotel Villas & Spa is an oasis nestled in the South Coast of Treasure Beach, Jamaica.

The resort has a rich history and has been in operation for 22 years (Our Story, 2015). Tourists

visiting Jamaica who desires a tranquil, peaceful setting, chooses Jakes Hotel Villa and Spa due to

several reasons such as its iconic location, panoramic view of the sea from the hotel and a truly

laid back experience with nature. For the independent-minded traveler looking for a laid-back

place to stay, Jakes Hotel has been the resort of choice.

Jakes Hotel Villas & Spa is a series of 50 suites and cottages stretching along a 150 yards of

the waterfront at Treasure Beach, Jamaica. The cottages are built in an eccentric cross between the

Caribbean and Moroccan style with domes, rounded arches and canopies on posts. All of the rooms

have outdoor spaces, including outside showers or baths. There are no in-room televisions or

phones at Jakes Hotel Villas & Spa (C. White, personal communication October 7th 2015). Due to

this setup, the hotel attracts visitors from all over the world who wants to leave the congestion of

city life behind.

At present about 85 employees are working in several different departments of the hotel.

Both local and foreign guests reserve rooms, conduct meetings, celebrate special occasions;

weddings and many more other functions at hotel. Employee involvement is the key to the success

of the hotel. They are responsible to assign and keep room records; reservation details, clean

rooms, and wedding halls; control the inventory of hotel and many more other responsibilities.

Currently Jakes Hotel Villas & Spa is using a manual system to handle hotel processes. When a

guest make a reservation, all the reservation details (including guest details) are recorded in a file

and those files are stored in a special cabinet....
