Company X Employees,

Employee satisfaction is of the utmost value to Company X. In order to maintain the high level of standards that our employees bring to Company X day in and day out, it is important to review company policies and procedures in regards to emailing and text messaging in the workplace: specifically the security, privacy, and monitoring of messages.

Emailing and text messaging have their place at work. Employees are free to use their own cell phones to send and receive private messages, but under certain circumstances, Company X prohibits the use of company equipment for the sending of personal messages. This includes:

1. Using company computers to send harassing messages.

2. Using company cellular devices to send harassing messages

There is a strict policy in place for using company equipment to send personal messages. While employees may send their private messages using company equipment, they must understand that due to security reasons, Company X closely monitors all messages sent on company equipment. This includes messages sent on both company emails and company mobile devices.

To ensure that company procedures maintain the privacy of Company X employees, the HR department urges all employees to follow certain criteria for appropriate message content:

1. Refrain from using company equipment (computers, cell phones, etc.) to send messages that you would deem too private for the workplace.

2. Use personal mobile devices/ laptops to send private messages in the workplace.

3. Use company equipment to send mostly company/ work messages.

4. If a personal message must be sent from company equipment, make sure that the message is free of offensive language, sensitive information for the sending/ receiving party, and lewd content.
