Administrative Assistant-Full Time
Purpose of an Administrative Assistant:
Ensure efficient day-to-day office operation by implementing administrative systems, procedures, and policies. Monitor administrative projects and management of other staff.
Primary Job Duties and Responsibilities:
Reception area-Ensure that reception staffs are doing the following:
• Answer telephones using a professional and courteous manner.
• Direct telephone messages to the appropriate staff persons.
• Reply through telephone or email for general information messages with accurate information.
• Greet clients/guests/suppliers/visitors to the company in a professional and friendly manner.
• Organize, clean, and sanitize waiting area at opening, before lunch, and at closing.
Office Administration:
• Use of computer word-processing, spreadsheet, and database software such as Microsoft to prepare documents, memos, and reports.
• Sort and distribute incoming mail, faxes, and courier deliveries 3 times a day.
• Prepare and send outgoing mail, faxes, mail, and courier packages twice a day.
• Forward emails and voice messages to appropriate persons.
• Purchase, receive, and store office supplies and to be sure supplies are always available.
• Provide secretarial and administrative support to management and other staff.
• Make travel and meeting arrangements for staff.
