PRIMARY CARE INFORMATION PROJECT

Administrative Assistant

The NYC Department of Health and Mental Hygiene (DOHMH) Primary Care Information Project (PCIP) is devoted to improving population health in underserved neighborhoods through health information technology.

In collaboration with The Fund for Public Health in New York (FPHNY), a not for profit corporation serving as program partner with DOHMH to implement and advance public health initiatives, PCIP is searching for an Administrative Assistant. Reporting to the Special Projects Coordinator, the Administrative Assistant will join the Office of the Assistant Commissioner. The Administrative Assistant will support this 100 person bureau by providing support in a professional and efficient manner regarding operations, administrative matters, and event coordination, as well as provide scheduling assistance and calendar management as directed by the Special Projects Coordinator.

As the Administrative Assistant you will:

• Provide administrative support to the Assistant Commissioner, including but not limited to meeting coordination, travel logistics, expense reporting, and filing.

• Manage administrative logistics for internal meetings and events, including communicating with presenters, technical support, leadership and staff. Act as bureau liaison to departmental and agency committees for parties and other events. Coordinate and lead organization-wide events, e.g. summer picnics, holiday parties, etc.

• Maintain an internal office supply system which entails placing orders for office supplies, receiving, unpacking, and tracking inventory.

• Serve as a resource for PCIP staff by maintaining communication with administrative, financial and grants management personnel as needed.

• Support organizational trainings, webinars, and other external events, including preparing and submitting paperwork, creating sign-in sheets, preparing documents and handouts, and handling logistics for webinars...
