SUBJECT:   Improving  Office  Operations  and  Morale  

 

I   enjoyed   visiting   your   office   last   month   and   talking   with   you   and   your   staff.   Through   an   overall  

evaluation  and  consideration,  I  would  like  to  share  my  ideas  to  better  improve  the  office  productivity  

and  morale.  I  recommend  you  to  adopt  a  flex-­time  schedule  for  you  and  your  clerical  staff.  How  the  

schedule  works  and  why  it  is  effective  is  described  as  follows.  

 

Ø   How  Flex-­time  Schedule  Works  

Flex-­time  scheduling  enables  your  staff  to  choose  working  hours  freely  rather  than  locking  them  into  

a  rigid  9  AM  to  5  PM  schedule.  Since  hospitals  are  open  24  hours  per  day,  you  can  easily  implement  

the  plan.  But  several  ground  rules  are  necessarily  required  to  ensure  the  flex-­time  runs  smoothly.  

Here  is  what  I  suggest:  

−   Allow  your  staff  to  allocate  their  8  hours  between  6  AM  and  9  PM.  

−   Enable  them  to  break  the  8  hour  shifts  into  4  hour  blocks.  

−   Require  that  at  least  4  staff  members  should  be  on  duty  between  8  AM  and  5  PM  to  handle  

information  request.  Let  your  staff  make  the  arrangements  themselves  to  meet  the  requirement.  

−   Provide  a  sign-­up  sheet  so  that  your  staff  can  log  their  hours.  

−   Adopt  for  yourself  a  flex-­time  schedule,  which  shows  your  support  and  enables  the  supervision  

of  your  worker  during  the  course  of  the  work  week.  

 

Ø   Why  Flex-­time  Improved  Morale  and  Productivity  

Flex-­time  will  slightly  increase  office  heating,  cooling  and  lighting  costs  indeed.  But  I’m  certain  office  

morale  will  improve  and  productivity  will  increase  due  to  the  following  reasons:
