Front Desk Information

Answering the Switchboard:

1. “Universal Health Services….Jordan speaking. “ (Always answer with a smile!)

2. The caller ID will show if the call is from an outside line (usually a full phone number). If the call is from someone’s extension (i.e., ‘John D.’ will show on the caller ID), you can answer with “This is Jordan.”

3. Always remember to say ‘please’, ‘thank you’, ‘yes’, etc.

4. When you transfer a call to an extension, always say to the caller, i.e., “I will transfer your call……One moment, please.” Press the ‘Transfer’ button and dial the extension number. You may hang up the phone once you dial the extension number.

5. If you accidently dial the wrong extension number, just hit the button (line) the call came in on and you will be reconnected to the caller.

6. If you leave the front desk, make sure you press the ‘Away’ button on the console. This will transfer all incoming calls to the cordless phone. Once you’re comfortable with taking the phone with you when you leave the front desk, make sure you take your extension list with you in case a call comes through and it needs to be transferred.

7. When the switchboard rings, pick up the receiver and you will be connected to the caller. It is very important to answer the phone as quickly as possible.

8. If another line starts ringing and you know where to transfer the first call, go ahead and transfer the call and press the receiver button. (It’s the same as hanging up the phone.) Release the receiver button and you will be connected to the second caller.

ANSWERING THE CORDLESS:

1. An outside call will have a broken ring (2 rings). An inside call (from an extension) will have a solid ring.

2. Press the green ‘Talk’ button to answer the call. To transfer a call press the ‘Talk’ button again, listen for the beep-beep-beep, dial the extension number, and press the red ‘End’ button.
