Delegation is a form and degree of power sharing with the individual subordinate. First of all, the delegation process will be when the manager assigning the responsibilities to his subordinate. The subordinate can’t discharge his assigned responsibility unless the manager assign the equal authority to the responsibility that he has been delegated. Then, the manager can delegate the operational responsibility to his subordinate but the manager can never delegated the ultimate responsibility to his subordinate. That is because the ultimate responsibility is the responsibility of the superior for the satisfactory discharge by the subordinate of the responsibility assigned to him.

Next, when the manager delegate the responsibility to his subordinate, he need to specify the responsibility clearly to his subordinate. It is important to make sure the subordinate understand the new responsibility. The manager must clarify the task objective and priority and inform the subordinate about any deadline that must be met. Then, when the manager assigning new responsibilities to his subordinate, he also need to determine to appropriate amount of the authority needed by his subordinate to carried our the new responsibility. They must specific clearly the subordinate scope of authority and limits of discretion. After that, the manager need to specify the important reporting requirements to his subordinate. It is important to let the subordinate understand the types of information that must be reported.

Moreover, after the manager delegated the responsibility to his subordinate, he can safeguard his ultimate responsibility by holding the subordinate accountable for satisfactory performance of his responsibilities. He can hold his subordinate accountable by prescribing standard performance in term of quality, quantity, cost and time. The performance standard should be measurable or at least verifiable.
