Using Communication Tools in the Executing Process for Reporting

Reporting during the execution and controlling process is dominant in order to keep on schedule and within budget. The communication tools support the needs of the project manager and team members in reporting of project status. The common factor in these reports is the utilization of each, after the project is in the executing process and work activities are occurring. There would be ten communication tools which are being used in the execution process for reporting. The tools are as follows;

1. Daily Progress Report

The daily progress report capture various aspects of project including what we completed yesterday, what do we plan to work on today, and what is preventing us from completing today’s activities. By capturing status information on a daily basis, the project manager can determine how much progress is being made, and has been made, so that they can follow up with the team members on any outstanding items. The project manager can also assist in removing roadblocks where applicable. Capturing status information also allows project managers to hold team members accountable while reporting their status. This report provides a first-hand view from project team members themselves on issues and concerns they are having on the project, and where they need help. We must identify who on our project team will utilize this tool so that we can determine the level of detail required, frequency of distribution, style, and format of the report.

2. Gantt Chart

Gantt chart is used to track the project activities and costs. A Gantt chart documents the tasks and time lines of the project and acts as the main repository for the project schedule, resources, and task-related information.
