Kudler Human Resources Systems
Kudler can improve multiple areas in its current HR system through the use of an automated system. Its current systems are filled with redundant efforts by supervisors, managers, and accounting to enter data into the HR system. Many employee files are stored in a paper format and are spread out at each store. This lack of centralized storage can be a cause of inefficiency and also has no current disaster recovery plan if the hard copies of the documents are lost. It would benefit Kudler greatly if they were to implement an IT solution for their HR system to cut down on redundant efforts, centralize data, and become more efficient.
Kudler’s Current HR System
Kudlers current Human Resources System includes an outsourced workers compensation system and payroll system. Managers and store supervisors also manage some individual systems instead of the HR department. Kudler uses a mix of electronic and paper documents for its filling system. The storage of these files is not centralized and managed by multiple parties.
Kudler currently outsources its entire payroll through Intuit, which tracks employee personal information such as name, address, birth date, etc. Intuit also tracks pay rate, tax exemptions, hire date, seniority date, and organizational data, such as what store the employee works (University of Phoenix, 2011). Employees must submit changes to this information in writing to their supervisor, who submits it to an accounting clerk for entry into the system. Every employee manually creates his or her own timesheet and each sheet needs to be approved by the store manager, and any corrections need to be approved by a direct supervisor and store manager.
