Scenario One: When we are given an assignment like the one in this scenario we must plan far enough in advance to ensure we complete all of the tasks on time. It usually will take at least three months to plan. From meeting with the marketing group to setting up the booth at the trade show, to returning all of the company’s products back to inventory. This all takes planning and having a good database to track is crucial to the success from start to finish.

Using an action plan and putting timelines would be the best system to use. It is easy to create and would be easy to set up in an excel database. Placing tasks with target dates with completion timelines would be all you need. See attached document.

There are several things you would have to consider such as giving a presentation, deciding the main message to what you are selling, picking the best booth for traffic and exposure, designing your banner and handouts, what personnel is needed to run the booth during the trade show to name a few. Since this is a tradeshow and is held at a local event you should be able to do everything on a personal database. Anything that needs to be finalized or shared could be e-mailed for someone to review. Having your action plan and timelines on an excel spreadsheet should be easy to handout, e-mail and would be easy to update. There is not a lot of data needed to add or delete items during the process.

After you have set up your trucking company to come pick up all the items needed for the event you will have to track the progress. You can do that by scheduling times to have someone on site to meet the movers and help coordinate the set up.
