Effective Medium of Communication

The channel, or medium, used to communicate a message affects how accurately the message will be received. All channels of communication have different strengths and weaknesses and deciding which to use can be very difficult. In addressing the situation with James Dion, I believe that video-conferencing is most effective in the virtual environment due to its high channel richness.

Channel richness is the capacity of a communication channel to carry information in an effective manner. There are four general factors that help determine richness: feedback, cues, personableness, and emotional content. Video-conferencing has high channel richness in comparison to other communication channels. It allows for quick or immediate feedback. It can also be tailored to the recipient. However, the main reason why it is so effective is that it allows Receivers and Senders go beyond just the words spoken. It transmits facial expressions, tone of voice, and body language which are all cues that help convey emotion.

When communicating with James via video-conference, I would make sure that it is in a private room and that he is comfortable. I know that body language is crucial with this type of communication. I would keep eye contact with him so that I can hold his attention, show interest, and sincerity. I would make sure that I was conveying a positive atmosphere by being relaxed and smiling, which can help decrease any possible tension and project friendliness, acceptance and cooperation. I would also lean forward slightly so that he knows he has my attention and interest.

When speaking with James, I would first begin by assuring him of the importance of his work, quality of his efforts, and value he brings to the team. I would tell him of the crucial role he play in the project and overall success of the team. It is important that James feels comfortable enough to talk openly to me about...
