Subject: Recommendation for Enhancing Healthlite’s Processing System
In our March 30 staff meeting, we discussed the challenges of competing with local competitors fast delivery options and different methods to increase the shelf space in grocery stores.
Items that Need Improvement
Healthlite’s processing system has slowed down due to the following:
- the existing order processing system requires sales representatives to write up hard-copy tickets to place orders through the mail or by fax.
- orders are delayed when the fax machines break down.
- the only way to obtain up-to-date sales data is for managers to make telephone calls to subordinates.
- Communication between sales managers and sales representatives has been primarily through the mail or by telephone.
Recommendations
In order to become competitive with local competitors there needs to be an upgrade in the Information Systems Technology within the organization. An important item to consider is a server that has the capability of email services, programs for processing orders and an effective tracking system. A toll free number with a help desk representative, who has the ability to logon to the server, should be considered for customers who call after normal working hours.
Email Services
The primary method of communication for every company is via email. This will provide headquarters with an effective method to ensure that every division has received weekly reports instantly from one email. Email also prevents delays in processing consumer orders.
Processing Orders Program
This feature allows personnel to view pending orders and when the orders are processed for delivery. If the company is low in stock for a specific product, this program would highlight the item in red when it reaches below 50 percent.
